Social Event Planning & Marketing Coordinator

Reporting Responsibility:You will report directly to the Chief Marketing Officer

Job Function:To support and help grow the social segment of the company by cultivating relationships and ensuring that client's needs are exceeded at every point in the planning process as well as their onsite experience Requirements:

  • Responsible for thoroughly detailing all social events including food and beverage, any AV needs, timeline, and setup needs
    • Required to be highly detail-oriented such that all relevant event information is communicated properly to the Operations team
      • Responsible for documenting all changes until event execution and communicating all changes to any involved staff
    • Perform 'drop off' appointments with clients and accurately detail all inventory of items for setup and post-event collection
  • Responsible for being completely knowledgeable on all products and service offerings as well as venue specifics in order to ensure smooth communication with the clients and maximize upsell opportunities
  • Responsible for generating additional revenue above and beyond the contracted value of events to ensure growth for social events
  • Suggest and help guests plan menus in conjunction with the Executive Chef and/or other culinary personnel; develop Banquet Event Order and finalize contractual arrangements by getting the appropriate signature(s) to ensure the Venue and Customer agree on all details
  • Transmit necessary information to and coordinate event planning with Operations, Front Desk, and Housekeeping staffs at a weekly meeting; arranges for printing of menus and other special requests,
  • Ensure timely responses to all correspondence
  • Ensure client financial obligations outlined on the event contract are upheld
  • Provide suggestions to the client to meet their Minimum Total Charge
  • Perform room checks to ensure setup of space matches client needs
  • Greet Customer at all events and introduce to 'day of' contact
  • Generate final bill invoice
  • Generate a forecast of upcoming events and revenue within a 90-day period on a biweekly basis
  • Generate a weekly upsell report
  • Attend weekly sales meetings
  • Provide periodic feedback to the sales team on trends that you hear from clients so that the property can continue to improve and update offerings
    • This may include dietary trends to improve menus, setup needs, etc. Is familiar with giving social guest tours and may be required to do so
  • As needed acts as a hospitality coordinator/host for other special events.
  • As needed photographs wedding and social event setups and events for use in social media and other marketing.
  • Manages social media accounts, website blogs, and other marketing outlets using graphic design and partner management strategies to effectively promote the company

Performs special projects as assigned and other administrative tasks as needed
